Palmetto Retail Policies and IT Information
Return Policy:
A Palmetto Retail engagement is a custom solution built specifically for your needs. As such we cannot accept returns of any equipment or service after the initial deposit is received. We are able to provide exchanges for faulty equipment within each individual products warranty period. We stand by our products and offer many references upon request.
Service:
Each PC is covered by a Next Business Day service contract provided by an Authorized Service Technician as covered by the manufacturers warranty period - some geographic stipulations apply.
Each monitor is covered by the manufacturer within its warranty period and service plan and is replaced at the manufacturer's discretion with a refurbished monitor with the same warranty.
POS Hardware is replaced by Palmetto Retail via a UPS Ground delivery.
Support:
Support of the software and some hardware issues are handled via remote support using the telephone and/or an internet connection to directly connect and troubleshoot the issue directly on the affected system. Support is provided by Palmetto Retail and Intuit.
Data Back-up Procedures:
Palmetto Retail highly recommends you backup your data for QuickBooks Financial and QuickBooks Point of Sale on a daily basis. Backing it up on the same PC is just a beginning step - it is best to save the data onto a removable disk or usb thumb drive and store the back-up offsite in case of a disaster occurring (hard drives fail all the time). Not doing this simple step can cause you to lose your business! Use a FREE program such as Cobian BackUp (great product for a great price). If you purchased a PC from Palmetto Retail then you will have a software selection that includes Cobian BackUp located in c:\mpos\.Alternatively, we are now recommending the internet based Carbonite system for $54.95 per PC for one year of back-up service.

Physical Inventory:
When you start a physical inventory, please print out the inventory or use a scanner. I do not recommend that you have someone running counts and calling them to a person sitting in front of the computer to input as you go. Unexpected power outages or system reboots (scheduled or unscheduled) occur and that data could be easily lost losing hours of work.
Palmetto Retail also rents the physical inventory scanners for your use. Give us plenty of advanced notice (two weeks preferred) to locate available scanners as inventory tends to be run at tax time and demand for scanners is high. These scanners are available for purchase as well and pay for themselves in a year or two depending on usage.
Initial Data Imports:
Data imports from QuickBooks Financial or from a spreadsheet need to have the data in as correct a format as can be. It is best to clean the data before putting it in POS – start from a clean slate. Get rid of items not needed. Place items in the correct format (i.e. by the each instead of by weight), etc… Ask for details or assistance from your sales associate.
NOTE – QB Financial does not use departments and by default the transfer of items to QBPOS will create items in a department named Financial Software and will have to be changed individually to Departments that they should be in. To make your QBFS Accounts your QBPOS Departments, export the items list to Excel and then import them to QBPOS mapping the QBFS Accounts to the QBPOS Departments.
Consignment Module:
Consignment is not a standard business function of QuickBooks Financial or QBPOS. In order for consignment items to be sold and processed correctly, we resell a 3rd party consignment module from Ability Business. The out of the box tool generates bills for you to pay to your vendors when their items sell and offers a report as well. The tool can be run monthly to generate these bills in QB Financial using the data provided by QBPOS.
Basic IT Maintenance:
It is prudent for you to install firewall software as well as anti-spyware and anti-virus software. Please keep this software up-to-date. We recommend AVG Pro anti-virus and firewall. We offer it with a 2-year license. All-in-one products such as Norton All In One Security Suite and McAfee are not recommended based on their high resource usage. AVG Pro is a minimal resource user.
Periodic maintenance should also include running Disk Cleanup (Start>Programs>Accessories>System Tools>Disk CleanUp) to clean up old files usually stored in memory. Also, running a tool such as RegClean to keep your system registry tuned is prudent. If you purchased a PC from Palmetto Retail then you will have a software selection that includes a trial version of AVG Pro as well as CCleaner and SuperAntiSpyware located in c:\mpos\. Please install these packages at your convenience.
The PC should not be kept in an enclosed environment without proper ventilation.
